Before You Reserve

To request a reservation:

  1. Email RoyceConfRooms@humnet.ucla.edu to check availability.
  2. Include the requested date and time, department name, and your contact information.
  3. If the room is available, complete and submit the Reservation Form.
  4. The reservation is not confirmed until a completed and signed reservation form has been received.
  5. All events in Royce 306 must be entered into UCLA’s Events Online (EOL) system.

Who Can Reserve Royce 306?

Humanities Division departments and centers have priority in reserving the room. Reservations may be made no more than three years in advance.

Non-Humanities UCLA departments and centers may reserve the room if it is available. Reservations may not be made more than six months before the event date.

UCLA student groups and organizations may not rent the room directly. Student events must be reserved by an academic department, which assumes responsibility for the rental cost and any damages.

Non-UCLA groups and organizations may not rent the room.

Tentative Holds

Tentative holds will be released 60 days before the held date if the reservation has not been confirmed. A courtesy email will be sent before the hold is released.

EOL Registration Required

All events in Royce 306 must be entered into UCLA’s Events Online (EOL) system.

If you have not yet been designated as an Organizer in EOL, please complete the UCLA Events form and contact events@ucla.edu with questions.

Room Amenities

Royce 306 is a large seminar room with a maximum capacity of 50 people. The room is approximately 21′ x 56′, and the adjacent loggia is approximately 18′ x 56′.

Furniture and Seating

The room includes:

  • Two large wooden conference tables, each approximately 4′ x 11′
  • Thirty-nine chairs that may be rearranged within the room
  • Twelve additional stacking chairs
  • Six lightweight folding tables on the loggia:
    • Three 8-foot tables
    • One 6-foot table
    • Two 5-foot tables

The conference tables are heavy but have lockable casters and can be moved by two people. All furniture must be returned to its original configuration after the event.

AV Equipment

AV documentation is available in the AV Guide.

AV support is not available during events. A demonstration of the system may be scheduled in advance by contacting the Conference Rooms Coordinator.

The room includes:

  • Two large monitors on movable carts
  • Computer
  • Microphones
  • Speakers
  • Camera
  • Wi-Fi
  • Ethernet wall jacks

Curtains

Use the curtain pull-cords to open or close the curtains. Do not pull or tug the curtains directly.

Room Access and Event Responsibilities

Room Access

The Humanities Conference Rooms are not unlocked or locked by Facilities. No one will unlock or lock the room for you on the day of your event.

The room is operated by keypad. Guests will receive the access code the week of their event. For Monday events, guests will receive the code on the preceding Friday.

Required Walk-Through

Please schedule a walk-through of the room and adjacent loggia before your event. Email RoyceConfRooms@humnet.ucla.edu to make an appointment.

Event Staffing

Staffing is the responsibility of the reserving group.

The reserving group is responsible for:

  • Unlocking the room for deliveries or vendors
  • Supervising setup before the event
  • Supervising cleanup after the event
  • Being present during the entire event
  • Staying with the room until delivered items have been picked up, unless other arrangements have been made in advance

End-of-Event Responsibilities

At the end of the event, the reserving group must:

  • Pick up all trash
  • Shut down all equipment
  • Return equipment to proper storage
  • Turn off all lights
  • Return furniture to its original configuration
  • Lock the door

The room should be left clean, tidy, and ready for the next event.

Building Access, Deliveries, and Facilities Issues

Building Access

Royce Hall closes nightly at 7:00 PM, and weekend access is limited.

The reserving department is responsible for arranging building access for weekend and after-hours events.

For weekend events, online FSRs must be submitted to Facilities by Thursday at noon to ensure access to Royce Hall.

Deliveries

Use of the Royce Hall loading dock is not allowed.

All deliveries must use the north door of Royce Hall, opposite Rolfe Hall.

The reserving group is responsible for meeting delivery personnel and unlocking the room.

Heating, Air Conditioning, and Fans

Heating, air conditioning, and fans are controlled automatically. There are no manual controls in the room.

For temperature-related issues:

Wheelchair Lift

The wheelchair lift works with the key turned to the “on” position. Make sure the lift door is completely shut.

Do not use the wheelchair lift for freight.

The reserving department is responsible for proper use of the lift.

Loggia Lights

Lights on the loggia are controlled by a timer and will turn on automatically.

Policies, Restrictions, and Parking

Food and Beverage

No food or drink is allowed inside the seminar room.

All food and beverage service and consumption must remain on the outside loggia.

Smoking

Smoking is prohibited in the Morris Humanities Seminar Room, the adjacent loggia, all of Royce Hall, and anywhere on the UCLA campus.

Prohibited Items and Activities

The following are not allowed:

  • Amplified musical performances
  • Candles
  • Glitter
  • Portable heaters on the loggia
  • Food or drink inside the seminar room

Damages and Cleaning Fees

Any damage, including stains on the carpet or upholstered chairs, will be noted. The reserving department may be responsible for additional cleaning fees.

The UCLA department renting the room may also be liable for repair costs for damages to university property, equipment, or facilities.

Signs and Alterations

Signs may not be posted on walls in Royce Hall, including rooms, hallways, and stairs. Please use easels for notices.

The renter may not make alterations or additions to the room.

Lost and Found

The reservations department is responsible for lost-and-found items.

Parking

If you expect 50 or more attendees, contact Campus Parking at 310-825-1286 at least four weeks before the event.

Nearby Royce Hall Events

There may be concurrent events in the Royce Hall Auditorium. Because the Morris Humanities Seminar Room is adjacent to the auditorium, performances or rehearsals may occasionally be heard inside the seminar room.

Before booking, it is recommended that you contact the UCLA Events Office at 310-825-8989 or search the Happenings Events Calendar to determine whether nearby events may affect your reservation.

Auditorium and rehearsal schedules may change at the last minute. If potential noise is a concern, it is recommended that you rent a microphone from AVS to ensure speakers are audible.

Video Surveillance

Royce 306 is equipped with video surveillance. No audio is recorded.
